Job Summary :

The Admin Manager in the Security & Safety Department at Security plays a pivotal role in maintaining and enhancing the security and safety standards of the port operations. This role demands a blend of human resource management, security expertise, and administrative proficiency.

Competencies Required:

  • Strong problem-solving, decision-making, and organizational skills.
  • High level of integrity, professionalism, and the ability to work under pressure.
  • Technical proficiency in Microsoft Office Suite and relevant HR and security management software.

Key Responsibility :

1. Recruitment and Staff Development

  • Oversee the recruitment process for non-executive positions, ensuring alignment with departmental needs.
  • Design and conduct training programs for all staff levels, with a focus on security protocols, operational efficiency, and leadership development for executives/managers.
  • Regularly assess training needs and effectiveness, adapting programs to meet evolving requirements and best practices.

2. Manpower and Resources Management

  • Manage and supervise the deployment of manpower, ensuring optimal staffing across various shifts and operational areas.
  • Address staffing challenges and forecast future manpower needs based on operational demands.
  • Oversee logistics operations, ensuring efficient resource allocation, inventory management, and continuous process improvement.

3. Security Operations and Compliance

  • Direct security management at key locations such as Main Port Hub, Terminal Bay, and Bulk Cargo.
  • Implement, review, and update security policies and procedures to ensure robustness and compliance with regulatory standards.
  • Liaise with external security agencies as necessary, enhancing overall port security.

4. VVIP Escort and Airport Management

  • Coordinate logistics for VVIP visits, including escort procedures, airport management, and ensuring adherence to security protocols.
  • Ensure smooth operations during VVIP visits by collaborating with various stakeholders and maintaining high security standards

5. Welfare and Employee Relations

  • Manage welfare matters for the Port Police, fostering a supportive work environment and addressing any concerns effectively.
  • Serve as a liaison between the Port Police and HR Department, facilitating effective communication and coordination.
  • Handle disciplinary actions against staff in a fair and consistent manner, adhering to organizational policies and legal guidelines.

6. Inspection, Reporting, and Communication

  • Conduct regular inspections of on-duty personnel to ensure adherence to operational standards.
  • Prepare detailed and accurate reports in both English and Bahasa Malaysia, covering various aspects of operations and personnel performance.
  • Communicate effectively with higher-level management, providing insights and updates on operational matters and participating in strategic decision-making.

Requirements :

  • Bachelor’s degree in Business Administration, Law, or other security-related fields.
  • Minimum of 2 years in a managerial role within Security & Risk Management.
  • Ex-senior police or army officer with management and investigation experience preferred.
  • Proficient in developing and implementing training programs.
  • Capable of effectively moderating large groups.
  • Highly organized and detail-oriented.
  • Skilled in Microsoft Office.
  • Strong analytical skills for risk assessment and decision-making.
  • Excellent verbal and written communication skills.
  • Proven problem-solving capabilities.
  • Experienced in managing crisis situations.
  • Knowledgeable in relevant legal and regulatory standards.
  • Strong interpersonal abilities for effective team and external relations.
  • Competent in working within diverse cultural environments.
